Public access and account information
Public visitors can use the landing page and policy pages without creating a KaraokeAssist Profile. Product features are available only to authenticated, invited participants.
KaraokeAssist uses ChatGPT sign-in to identify the invited account. It receives the identity information supplied by that authentication flow and keeps the account, invitation, authorization, and security records needed to operate controlled access. ChatGPT sign-in authorizes retrieval of the participant's encrypted vault. It does not decrypt the vault.
Identity or adult-verification information submitted for protected product access is operational account information, not private preparation. It is limited to the access review for which it was submitted.
Anonymous website statistics
To understand whether the public pages are useful, KaraokeAssist keeps limited first-party statistics: the public page path, date, selected link actions, referring domain, and campaign tags included in a KaraokeAssist link. A random identifier is stored in the visitor's browser so repeat visits can be counted approximately without using a name or account identity.
This analytics system does not store an IP address, full referring URL, ChatGPT identity, invitation token, or participant information. It does not read the Competitor Vault, Profile, Plans, Working Songs, Slates, notes, journal, readiness, or Companion conversations. No analytics data is sent to an outside analytics provider. Anonymous browser records are retained for 120 days; aggregate daily totals may be retained longer.
The encrypted Competitor Vault
A participant's private preparation is stored in an encrypted Competitor Vault. Encryption and decryption occur in the participant's browser. The participant controls the vault unlock method, and KaraokeAssist retains neither the content key nor a readable stored copy.
The vault may contain Profile details, range and experience notes, Competition Plans, goals, Working Songs, track choices, keys, readiness, Slates, decision rationale, preparation-journal entries, private references, and Companion conversations.
Another competitor cannot open the vault. A KaraokeAssist administrator cannot open it. USKA or IKF personnel cannot open it. Invitation management, product administration, and competition-related roles do not grant vault access.
KaraokeAssist may retain opaque technical metadata needed to find, synchronize, protect, and delete the encrypted vault. That metadata does not contain private preparation or a means to decrypt it.
Ask Companion
For an authorized participant, Ask Companion uses OpenAI's Responses API to produce an answer. The OpenAI API key remains server-side and is separate from ChatGPT account authentication.
After the participant unlocks the Competitor Vault, the full private preparation record is available inside that authenticated browser session so Profile, Plans, Slates, notes, readiness, and continuing conversation can remain connected. For an individual response, the application may assemble and send a focused working set in stages for relevance, performance, and model limits. The complete vault is not automatically uploaded with every question.
KaraokeAssist does not write the question, private context, or answer into a readable server-side conversation store. When continuing conversation is enabled, the participant's browser returns the exchange to the encrypted vault. Remembered conversation follows the active Competition Plan. The participant can pause continuing context or clear the current Plan's Companion history.
Companion Pro is the always-no-cost feature set for invited current competitors actively preparing for a confirmed USKA or IKF event. Pro is not a paid plan, status designation, or organizational endorsement.
How information is used
KaraokeAssist uses account and operational information to:
- authenticate an invited participant and enforce product access;
- operate, synchronize, secure, and delete the participant's encrypted vault without reading its contents;
- provide the participant's requested Companion processing;
- investigate abuse, access, or technical problems; and
- respond to that participant's account, access, synchronization, or deletion request.
Private preparation is not used to build a public contestant profile, populate public competition history, enrich another singer's research, sell advertising, or create a data product.
Public competition and song information
KaraokeAssist presents information drawn from public or reviewed song and competition sources. Event entries, submitted or performed songs, results, recognition, and verified public recordings may appear when supported by published event information or independently public media. Evidence and currentness may vary, and uncertainty remains visible.
Public competition context is separate from the encrypted Competitor Vault. KaraokeAssist will review reported source errors, mistaken identity, or broken attribution. It does not treat a participant's Profile, Plan, Slate, notes, readiness, journal, or Companion history as public competition information.
Service providers and disclosure
Hosting, authentication, encrypted storage, and security providers may process the operational records or ciphertext needed to provide KaraokeAssist. OpenAI processes the working context supplied for a participant's Companion request. KaraokeAssist does not give service providers a retained vault key.
Information that KaraokeAssist possesses may be disclosed when reasonably necessary to comply with law, protect the service, or address fraud, abuse, or security concerns. Stored private preparation remains encrypted because KaraokeAssist does not possess the key needed to open it.
Retention and participant choices
The encrypted vault is retained while the participant keeps it in the service. A participant can clear the current Plan's Companion history and can request deletion of the encrypted vault and associated account information by contacting jeff@karaokeassist.com.
Limited access, security, invitation, identity-review, source-provenance, analytics, or legal records may be retained when needed for the purpose for which they were created. These records must not contain a readable copy of private preparation.
Because KaraokeAssist does not retain the vault key, it cannot open the vault or recover its contents for the participant. The product must explain and support the chosen participant recovery method before private information is first saved.
Security and participant responsibility
Vault encryption protects private preparation stored by KaraokeAssist. It does not protect information after a participant unlocks the vault on a compromised device, shares an unlock secret, or deliberately sends working context to Companion. Participants should protect their device and vault recovery information.
Sensitive competitor features require authentication, current authorization, and an unlocked vault. Young singers should use competition and preparation tools with appropriate parent, guardian, coach, or organization guidance.
KaraokeAssist does not infer or store a person's neurotype, diagnosis, disability, cognitive profile, or accommodation label. A user-chosen presentation preference may be kept inside the encrypted vault as an interface setting and must not become medical or cognitive identity data.
